What can I do in the staff portal (read me first)?

This portal helps you and MindfulBear manage appointment bookings. 

It can let you

  • View all appointments - This portal allows you to view all your current and past appointments in one place.
  • Link appointments to your calendar - If you have a Gmail account and are using Google calendar, you can also integrate new events into your Google calendar. When a customer booking is assigned to you, it will create a new event in your Google calendar automatically.
  • Set your available hours by day of the week - You can set your working hours by day of the week. Example: Let's say you are typically free every Saturday between 2 pm to 5 pm, you can set these hours in the portal as available. When a potential customer books with MindfulBear, we will know you are available every Saturday between 2 pm to 5 pm and allocate these bookings to you if it suits the customer's timing too.
  • Set your specific off days - You can set specific off days too. Example: Let's use the previous example where you have set yourself to be free every Saturday between 2 pm to 5 pm. Say, you may not be available next Saturday. You can set next Saturday as not available in the system. When potential customer books with MindfulBear, we will know your next Saturday is not available and not allocate this booking to you.
  • Notify you of bookings status - When an appointment is allocated to you, you will receive email notifications regarding this appointment. For any change in appointment due to reschedule or cancel, you will be notified via email of these changes too. One day before the appointment, you would also be reminded of your upcoming next day appointment. 

How to view my appointments?

Here is how you can view your appointments.

Login to your account.

Make sure you are viewing "Appointments". Make sure the dates are selected correctly. Then, view all your past and present appointments within that date.

How to link appointments into my Google Calendar?

Here is how you can link appointments into your personal Google Calendar.

Login to your account.

Click on your profile email address on the top left. In the drop-down, click on "My Profile".

Make sure you are in the "Details" tab. Then click on "Sign in with Google" and complete the guided steps by Google.

How to set my available hours by day of the week?

Here is how you can set your available hours by day of the week.

Login to your account.

Click on your profile email address on the top left. In the drop-down, click on "My Profile".

Make sure you are in the "Working Hours" tab. Then set your available hours by day of the week by clicking on the + sign. Follow the guided steps to add your available hours by day of the week. Then, click on "Save Changes" when you are done.

How to set specific days off?

Here is how you can set your specific days off.

Login to your account.

Click on your profile email address on the top left. In the drop-down, click on "My Profile".

Make sure you are in the "Days Off" tab. Then add your days off by clicking on "Add Day Off". Follow the guided steps to set your day off. Then, click on "Save Changes" when you are done.

Help! I forgot my password!

Here is how you can reset your password.

Click on "Forget Password" in the login screen.

Enter your account email address.

An email will be sent to your email address. Click the link in the email, this will log you into your account.

Then, to set a new password, click on your profile email address on the top left. In the drop-down, click on "My Profile".

Make sure you are in the "Details" tab. Then click on "Change Password". Follow the guided steps to set a new password.

How to change my name and email address?

Here is how you can change your name and email address.

Login to your account.

Click on your profile email address on the top left. In the drop-down, click on "My Profile".

Make sure you are in the "Details" tab. Then edit your name or email address. Once you are done, click on "Save Changes".
